In a government UPS tender, the warranty and service clauses matter as much as the technical specification — they determine whether the equipment actually stays up over its life, and whether the supplier is contractually bound to make it so. This is a buyer's checklist for the warranty, SLA, and uptime clauses worth getting right.

Comprehensive vs Non-Comprehensive Warranty

  • Comprehensive — covers parts (often including batteries) and labour for the warranty period. Higher assurance, fewer surprise costs.

  • Non-comprehensive — covers labour/service but excludes certain parts (frequently batteries). Cheaper upfront, but you carry the parts risk.

Specify which you require explicitly, and state clearly whether batteries are in or out of scope — battery treatment is the most common source of warranty disputes.

Service-Level Agreement (SLA) Clauses

A warranty without response-time commitments is weak. Define:

  • Response time — how fast the engineer must respond/attend after a fault is logged.

  • Resolution time — how fast the fault must be fixed.

  • Uptime guarantee — a committed availability figure, with penalties for breach.

  • Spares assurance — guaranteed availability of spares for a defined number of years.

Don't Forget the AMC Transition

Specify what happens after warranty — the basis for an Annual Maintenance Contract, including preventive maintenance visits and battery health checks. Plan it from day one rather than scrambling at warranty expiry; see UPS AMC and the preventive maintenance schedule.

Buyer's Checklist

  • State warranty type (comprehensive/non-comprehensive) and battery scope explicitly.

  • Define response, resolution, and uptime SLAs with penalties.

  • Require multi-year spares assurance.

  • Specify the post-warranty AMC basis and PM schedule.

  • Tie it to certification and OEM authorization (see bid documents).
